Guide to Signing Import Documents
Guidelines and key notes for importers – everything you need to know to ensure your documentation meets customs requirements and enables fast, delay-free clearance.
Why Does Customs Require a Signature on Every Document?
Since 2018, following the implementation of the “Global Gateway” system, the Israeli Customs Authority requires a signed document set for every import declaration.
The purpose is to ensure the accuracy of the information and the importer’s formal declaration regarding the validity of the transaction.
A signature is required on each document separately – including the commercial invoice, bill of lading, certificate of origin, and more.
How to Sign the Documents
At Mayan Logistics, we offer two convenient methods for signing your documents:

- Print the full document set received from us
- On each page, apply your company stamp and add a handwritten signature

Is There an Exemption from Signing Every Document?
ACC Clearance Procedure
Authorized Customs Clearing
Importers who meet customs criteria and are classified as Authorized Economic Operators (AEO) or approved importers operating under the ACC procedure benefit from expedited clearance processes.
Under this framework, customs allows greater flexibility regarding the submission of original and signed documents at the time of clearance, based on trust in the importer’s and customs broker’s control systems.

Scan Quality
Ensure that signatures and stamps are clear and legible. Blurred scans may be rejected by customs.
Document Consistency
Make sure all shipment details (such as bill of lading number and invoice number) match across all documents you are signing.
Timelines
It is recommended to return the signed document set immediately upon receipt, allowing us to begin the clearance process even before the shipment arrives at the port.
